Thank you for considering School of Music Arts. In an effort to be fair to teachers, students, parents and even the school, we have developed the following policies. These policies, when followed correctly, should result in a productive and enjoyable experience for everyone. Failure to comply with these policies may result in dismissal from the school. We thank you for your understanding and cooperation
Registration: Students are required to complete registration before the first lesson can be scheduled. Registration consists of a short questionnaire to determine the student's previous experience and current goals, collection of some personal information and payment of initial fees. As part of the payment of fees, students will be required to submit either a credit card or series of post-dated cheques for pre-authorized billing. Lessons will NOT be scheduled until registration is 100% complete.
Calculation & Payment of Fees: Fees are calculated on a month to month basis according to the teacher's lesson rate. Students will only be invoiced for the number of expected lessons during the month. Teachers set their own rates based on their own experience and education. Credit cards will be billed the day before the new month begins. Post-dated cheques are to be dated the 23rd of the month before the month for which lessons are being paid for. If lessons have not been paid by the 1st of the month, lessons will be suspended until payment is received. This may result in students losing their previously scheduled time.
Missed Private Lessons: Please review the chart below. Please note that no notice or less than 2 hours notice will result in a forfeited lesson.
*Please note that we can only provide 1 makeup lesson per month maximum for lessons cancelled on the same day. Any additional cancellations with less than 24 hours notice will result in a forfeited lesson. If no makeup time can be agreed upon, students may receive a 50% credit for the missed lesson instead.
If the teacher must miss the lesson, the teacher is expected to make up the lesson. It may be necessary for the school to provide a substitute teacher during the absence OR issue a 100% credit for the missed lesson. The credit may be used for the following month's tuition fees or it may be applied toward the purchase of goods at School of Music Arts. The credit will be automatically applied to whichever comes first.
If students are late, be advised that teachers are on a very tight schedule and must end the lesson at the regular time. If students are 15 minutes late or more, the teacher will assume that the student is not coming and the lesson will be forfeited.
Withdrawal & Re-enrollment: Students who wish to withdraw from lessons are requested to provide as much advance notice as possible. If students withdraw with less than 24 hours notice before their scheduled lesson, the lesson will be forfeited if not attended. There is no cost for re-enrollment but normal registration procedure as listed above must be followed before lessons can resume.
Collection of Personal Information: The personal information collected by SMArts is for internal administrative use only and will not be given or sold to any third party. All information gathered is kept confidential, and stored securely. Any financial information collected is locked and password protected to ensure the information is not accessed by unauthorized individuals.
Music Books & Other Accessories: School of Music Arts does not provide books or other materials for students as part of their tuition fees. Instruments, books and other accessories and materials may be purchased separately from administrative staff.
